Maintenance Manager

Based in Carnaby Street/Soho.

Maintenance Manager – Job Description

  • Receiving job requests via email / phone and organising

  • Inputting all jobs on tracker spreadsheet, with any additional notes for each job. Once completed then upload information on xero ready for excel spreadsheet.

  • Inputting all quote requests on tracker and uploading any additional notes per quote.

  • Ordering of materials for jobs via suppliers or website.

  • Checking of deliveries upon arrival.

  • Going through engineers’ timesheets and inputting order numbers for each job, add any additional jobs completed to tracker spreadsheet and then xero.

  • Ordering of any office suppliers, stationary, refreshments etc. including water Logic (water bottles)

  • Responding to any queries from tenants / sub-contractors

  • Keeping track and imputing data on Debit card payments spread sheet.

  • Inputting all materials on spreadsheet ready for invoicing

  • Producing invoices for works, x4 invoices each month

  • Receiving invoices from suppliers and sub-contractors. Check and approve for payment or query when necessary.

  • Ordering of tools, uniforms or PPE equipment for engineers.

  • Requesting of RAMS and method statements with certain jobs, then getting engineers to sign permission to work form

  • Organising of meetings / inspections via email/phone/calendar

  • Inspecting jobs when requested to take notes & pictures.

  • Meeting sub-contractors on site for inspection and to run through works.

  • Preparing small quotes for clients/tenants

  • Setting up credit accounts with suppliers

  • Keeping track of WhatsApp group

  • Mark as paid any sales invoices or expenses invoices on xero.

  • Chase overdue invoices.

  • Send hours payroll department monthly for wages. This includes filling out pay sheet template and considering any annual leave or sickness that needs deducting.

  • Record hours spent by maintenance team o and any non-invoiceable hours in spreadsheet.

  • Pay local suppliers

  • To order materials once estimates have been approved and keep track of deliveries, prepare RAMS (if needed)

Salary: £40-43k per annum
